Reports

Reports answer the questions that come up at board meetings and at year end. Every report filters by date range, space, renter type, and rental category, and every one exports to CSV.

Revenue

Invoiced versus collected, broken down by:

  • Month — the trend line
  • Space — which parts of the grounds earn
  • Category — your own rental categories

The gap between invoiced and collected is your receivables position. If it widens month over month, the reminder cadence in Settings → Reminders is worth revisiting.

Outstanding balances and aging

Everything owed, bucketed by how late it is. The standard working list for chasing money, and the number your accountant asks for.

Booking pipeline and conversion

The funnel from lead to booking to confirmed:

  • Lead volume by source
  • Conversion rate through each pipeline stage
  • Lead-to-booking conversion
  • Booking-to-confirmed conversion

This is how you find out whether the widget on your website earns its keep, and where quotes die.

Space utilization

Occupancy per space over the period: days booked, hours booked, and how much of the available time that represents.

The two useful outputs are the space that is always full — a case for raising the rate — and the one that never is.

Deposits

Security deposits held, returned, and forfeited over the period, with what is still outstanding. Cross-check against Security Deposits at period end.

Payment method mix and fees

How people actually pay — card, ACH, check, cash, in person — and what the card processing cost you.

If a large share of big invoices arrives by card, the ACH message on your invoices is worth making more prominent, or the surcharge setting is worth a look. See Settings → Payments.

Exporting

Every report has a CSV export of the underlying rows, not just the summary — so you can pivot it yourself or hand it to somebody who will.

For raw payment data, the CSV export on the Payments ledger is usually the better starting point.

Threshold alerts

Some reports support alerts on a threshold — receivables above a figure, occupancy below one — so the number finds you instead of you remembering to look.
