Payments ​

Payments is the account-wide ledger. Every dollar that arrives — however it arrived — is a payment attached to an invoice.

The ledger ​

A filterable table of every payment: date, renter, invoice, amount, method, type, status, and fee breakdown.

Filter by method, type, status, and date range. Export to CSV for reconciliation or your accountant.

Payment methods ​

Payment types ​

  • Payment — an ordinary payment against an invoice
  • Booking deposit — the down payment taken at signing, recorded automatically when the signature round completes

Status ​

pending → completed, or failed, or refunded.

Card payments complete immediately. ACH payments sit in pending until they settle, which usually takes a few business days; the ledger shows the expected arrival date and updates itself when the bank confirms. A failed payment records the reason.

Recording a manual payment ​

From the invoice, the booking's Payments tab, or the renter's Payments tab:

  1. Amount and method
  2. Received date — when the money actually arrived, which is often not today
  3. For a check: the number and, ideally, a photo of it
  4. A reference note

The payment is recorded against you, so the ledger shows who entered it.

It takes five seconds at the desk and settles every "we definitely sent that" conversation six weeks later.

Fees and surcharges ​

Two separate things, both configured in Settings → Payments & Stripe:

  • A credit card surcharge is a percentage added to card payments, passing processing cost to the payer.
  • Service fees are percentage or flat amounts on card and ACH payments.

Where a fee applies, the payment records both the amount before the fee and the fee itself, so your reporting can show gross and net without arithmetic.

Refunds ​

Refund from the payment record. Card and ACH payments refund through Stripe to the original method; manually recorded payments are marked refunded with a note about how the money went back.

Refunds issued directly in the Stripe dashboard are mirrored into the ledger automatically, so the two never drift apart.

Saved payment methods ​

Renters can save cards and bank accounts, either from their portal or when paying an invoice. Saved methods let you charge a card on file for a balance or a damage claim, and are what a security deposit card hold is authorized against.

Bank accounts require verification before they can be charged. Each renter has a default method, and can keep a backup.

Reconciliation ​

Payments recorded here and money in Stripe stay in step in both directions:

  • A payment taken through the product lands in the ledger immediately.
  • If a payment succeeds in Stripe but the browser session died before the product recorded it, the Stripe webhook reconciles it.
  • A refund issued in the Stripe dashboard mirrors back into the ledger.

For period-end, use the CSV export from this screen or the payment-mix and fee reports in Reports.

Cards on file ​

A renter can have cards saved against your connected Stripe account, managed from the Payments tab of their profile. A saved card is what makes charging without the renter present possible — a monthly invoice for a monthly renter, a security deposit, a damage bill.

Only the brand, last four, and expiry are stored here. The card itself lives at Stripe.
