Renter Portal ​

The renter portal is where renters handle their own side of the relationship: signing, paying, uploading, and asking for dates.

Enable it in Settings → Portal.

Signing in ​

Three ways in, so nobody is locked out because they forgot a password:

  • Password
  • Magic email link — they enter their email and click a link
  • SMS code — a six-digit code by text, if you have SMS login enabled

If one email address exists under more than one account — a caterer who works with three venues on the platform — they choose which account to enter after signing in.

What renters can do ​

Dashboard ​

Upcoming bookings, open invoices, and anything waiting on them — pending signatures, requested documents, tasks due.

Bookings ​

Their bookings with dates and status, and the signed agreement to download.

They can also request a new booking, which arrives on your side rather than landing directly on the calendar. You price it and send it back for signature.

Invoices ​

Every invoice with its balance, and pay online — a saved card or bank account, or a new one.

Documents and contracts ​

  • View and sign contracts
  • Upload requested documents — anything you flagged as requires a document shows here with an upload button, and uploading completes the task

If you rejected a document, the reason is shown and they can upload a replacement against the same request.

Payment methods ​

Add and remove cards and bank accounts, and set a default. Bank accounts are verified before they can be used.

Saved methods are what make it possible for you to charge a balance or a damage claim against a card on file — see Payments.

Profile and contacts ​

Their own contact details, password, and phone verification.

They can also invite additional logins under their renter — the club president who signs and the treasurer who pays each get their own. See portal contacts.

Getting a renter set up ​

From the renter's profile, Overview tab:

  • Invite — sends them a portal invitation
  • Resend — for the one that went to spam
  • Reset — for the password they have lost

What renters never see ​

Your internal notes, the activity log, other renters, your rates for anyone else, or anything on the Fairground side.

Practical advice ​

Invite renters when you send the first contract, not later. The habit forms on the first interaction, and a renter who signed through the portal will look for their invoice there too.

Request documents rather than asking for them by email. A requested certificate of insurance arrives labelled, filed, and dated, and chases itself.
