Team & Roles
Team members get per-side access, so a bookkeeper can have full run of Rentals and no access to Fairground at all.
Inviting somebody
Invite by email. The invitation stays pending until they accept, so you can set the whole team up in one sitting and let them arrive in their own time.
Set their access as you invite rather than afterwards — it is one screen either way, and it means nobody has a window of seeing more than they should.
Per-side access
Each member has two independent sets of access.
Rentals role
| Role | Can |
|---|---|
full | Everything on the Rentals side |
edit | Create and change records |
view | Read only |
limited | A restricted subset |
none | No access; the side does not appear |
Fairground role
| Role | Can |
|---|---|
full | Everything on the Fairground side |
edit | Create and change records |
view | Read only |
none | No access; the side does not appear |
A member with none on a side does not see the switcher option for it at all.
Global permissions
Three permissions that sit outside the per-side roles:
- Manage team — invite members and change their access
- Manage billing — the subscription
- Manage settings — everything in this section
These are separate deliberately. Your bookkeeper probably needs billing and not team; your office manager the reverse.
Top-level role
Each member also carries a top-level role — owner, admin, manager, staff, view only, accountant, government — which sets sensible defaults for everything above. You can then adjust the individual flags.
The Government role is different
Government is not a lighter version of staff access. It is a corral: a member with this role lands on the government portal — a single read-only list of bookings flagged for county permitting — and stays there no matter what they navigate to.
Per-side roles and global permissions do not apply to them. Use it for the county permitting officer, the fire marshal, or the health department contact.
Owners and admins can also open that page, which is the easiest way to see exactly what your county contact sees.
Status
| Status | Meaning |
|---|---|
pending | Invited, not yet accepted |
active | Working |
suspended | Access revoked, record and history kept |
Suspend rather than delete when somebody leaves. Their name stays attached to the bookings they made and the payments they recorded, which is what the activity log is for.
Common setups
| Person | Rentals | Fairground | Global |

Multiple accounts
One person can belong to several accounts with different access in each. They switch with the account switcher at the top of the sidebar.
Platform administration
If you administer the platform, you can act inside a customer's account to help them. While you do, a banner sits across every screen and the session is recorded with a reason, an IP, and start and end times. See Navigating the App.
